Proposal normalizer

Normalize Panels, Assembly, Details and Closeout

Compare tear-off, deck allowances, underlayment, panels, flashings, ventilation, snow details, warranty evidence and records.

Decision file

Build a clearer project record

01

Align quantities and basis

Confirm roof areas, slopes, edges, penetrations and documents used by each proposer.

02

Separate existing-roof scope

Compare tear-off or retrofit basis, disposal, deck review, allowances and concealed-condition rules.

03

Itemize hidden assembly

List deck preparation, membranes, underlayments, ventilation and transition components by product and location.

04

Normalize panel and details

Record panel profile, substrate, finish, attachment, flashings, gutters, penetrations and snow-related scope.

05

Compare access and changes

Include staging, protection, weather procedures, schedule assumptions and written change authorization.

06

Define closeout evidence

List inspections, photos, product data, care instructions, warranty documents and unresolved items.

07

Normalize quantities by roof zone

Require measured roof area, slopes, edge lengths, valleys, ridges, wall interfaces and penetration counts on a marked plan. Separate tear-off, disposal and deck allowances so proposals using different geometry or existing-roof assumptions are visible before price ranking.

  • Show waste-factor treatment
  • List unit rates for deck work
  • Reconcile bidder measurements
08

Compare the hidden assembly

Itemize substrate preparation, air or vapour work where proposed, insulation, ventilation, underlayment, separation layers, clips, fasteners and transition materials. A panel price cannot be compared fairly when the concealed build-up and verification evidence differ.

  • Name exact products
  • State installation-document revisions
  • Keep alternates outside base price
09

Define details, changes and closeout

Assign each flashing, curb, snow-management item, gutter interface, temporary protection and trade coordination task. Then compare concealed-condition notices, written change rules, inspection photographs, warranties, maintenance instructions and record details required at handover.

  • List responsible trade
  • Require approval before substitutions
  • Index closeout by roof area
10

Create the accepted roof-scope ledger

Combine measured roof zones, existing-roof assumptions, deck allowances, hidden layers, ventilation, panels, fasteners or clips, flashings, penetrations, gutters, snow details and finish selections in one ledger. Assign temporary protection, access, disposal, permits, trade coordination and restoration. Then record change notice, pricing and authorization rules plus the required submittals, photographs, tests, warranties, maintenance guidance and record details. The final selection should reference all clarifications relied upon, preserving unlike alternates separately and preventing a panel-only headline price from standing in for the complete roof assembly. Review the ledger at the pre-construction meeting and record who accepted each interface, allowance and unresolved condition. Issue any resulting clarification as a controlled contract document, not an informal note.

  • Freeze measurement revision
  • Name every specified product
  • Separate alternates and allowances
  • Assign detail responsibility
  • Require indexed handover records
